Assistant Facilities Manager

What this job involves - The Assistant Facility Manager with assist the Facility Manager in the delivery of services to operate and maintain the facility including customer/client services, financial management, facility maintenance, procurement, and supplier management. Develop client relationships with key representatives in supporting clients corporate goals and objectives.

What is the day to day?

  • Ensure client satisfaction with clients at all levels in the organization; demonstrate leadership, responsiveness, and creativity.
  • Role involves people management, decision-making, root cause analysis, inspections and audit readiness, communication, management of planning/scheduling and assignment, drive overall improvement of productivity.
  • Service is provided by managing contractors and suppliers per scope of work including but not limited for water systems, heating, ventilating, air conditioning, plumbing, instrumentation, fire protection, air, asset care, gases, architectural, shell maintenance, electric, elevators, janitorial, waste management & recycling, doors, pest control, furniture management, signage, landscaping, and process mechanics
  • Meet with all standard operating procedures, codes and regulations.
  • Ensure areas and processes are in optimum conditions for audit readiness and compliance
  • Execute daily building inspections, and monthly job-walks with vendors to ensure contracted scope is met.
  • Must be available 24/7 to respond to building emergencies or to respond to work being performed by contractors after hours.
  • Responsible for the Amgen Thousand Oaks Road and Grounds.
  • Support work order management for staff and vendors as necessary
  • Perform additional job duties as requested by the Facility Manager

Relationship Management

  • Maintain client satisfaction with delivery of Facility Management services and support programs to increase customer satisfaction
  • Work together, led by example, be a team player and collaborate with other facilities managers, chief engineers and co-workers.

Compliance

  • Support compliance with Jones Lang LaSalle minimum audit and compliance standards in facility management, financial management and operational policies and procedures
  • Meet or exceed site Key Performance Indicators (KPIs); monitor Service Level Agreements (SLAs) monthly to identify potential challenges and plan corrective actions accordingly
  • Enforce all Company policies and training requirements regarding safe and efficient operations and work practices

Desired experience and technical skills -

Required

  • 3+ years related work experience in Facilities (commercial or industrial preferred)
  • 2+ years' in a supervisor role
  • Experience in working in a regulated environment (GMP/GXP preferred)
  • Experience in the use of Computerized Maintenance Management Systems (Maximo Preferred)
  • Excellent inter-personal skills, organization skills, and strong analytical ability
  • Excellent communication skills oral and written
  • Excellent PC skills: proficiency in all Microsoft Team applications
