Key Responsibilities
Work Order Management
- Receive, review, and prioritize work orders from tenants and property managers
- Assign tasks to in-house technicians or external contractors based on skills and workload
- Coordinate with property managers to schedule work based on urgency and tenant impact
Preventive Maintenance and Quality Control
- Enforce quality standards and conduct regular inspections to verify completed work
- Maintain clear communication with maintenance teams, contractors, and senior management
Resource and Budget Oversight
- Allocate personnel, materials, and tools efficiently to handle all requests
- Work with the Accounting Department to manage maintenance budgets
- Identify and implement cost-saving strategies without sacrificing quality
Communication and Reporting
- Keep tenants, property managers, and leadership informed of progress and updates
- Track work order status, costs, and completion details in internal systems
- Generate reports on work order trends, performance, and overall maintenance operations
Customer Satisfaction
- Address tenant concerns promptly and professionally
- Implement feedback mechanisms to monitor and improve tenant satisfaction
Qualifications
- 10+ years of experience in property maintenance management (HVAC, Plumbing, Carpentry, Electrical, etc.)
- Strong understanding of HVAC, plumbing, carpentry, and electrical systems
- Excellent communication, leadership, and organizational skills
- Familiarity with work order software and reporting tools
- Ability to manage multiple priorities and work under pressure
- Valid drivers license and access to transportation
- High school diploma or equivalent (technical certifications preferred)
Physical Requirements
General Physical Demands
- Ability to stand, walk, bend, stoop, crouch, crawl, and climb ladders for extended periods
- Must be able to work in confined spaces, attics, and crawl spaces as needed
- Frequent use of hands and arms to operate tools, equipment, and machinery
- Ability to work from heights, including roofs, lifts, and ladders (up to 20 ft.)
Lifting and Carrying
- Must be able to lift and carry up to 50 lbs regularly and occasionally up to 100 lbs with assistance or dollys.
- Ability to move heavy appliances, HVAC units, and building materials as needed
Mobility and Endurance
- Able to walk several properties or large campuses daily
- Capable of completing a physically demanding workday, including multiple work orders and turnovers, especially during peak seasons
Environmental Conditions
- Must be able to work outdoors in all weather conditions including heat, cold, rain, or snow
- Ability to wear personal protective equipment (PPE) such as gloves, respirators, eye protection, and hearing protection as required
Additional Requirements
- Ability to operate company vehicles and drive between job sites as needed (valid drivers license required)
- Must be on-call and respond to emergency maintenance situations outside of normal business hours when scheduled (1 week a month at most).
