We are currently looking for a dynamic HVAC Service Dispatcher to join our team, someone with passion for serving customers, stellar communication skills, and proven ability to multi-task in a high-volume environment. The Service Dispatchers primary duty is to establish and maintain the work schedules of the service technicians and excellent communication to clients. Must have the ability to work with little supervision, being highly motivated and be driven to provide exceptional customer service.
Computer experience and prior HVAC dispatching (or equivalent) is a must.
Responsibilities:
- Dispatch Service Technicians. Prepare and coordinate daily work schedules
- Create work orders for all service calls; maintain the dispatch board and filing system
- Debrief calls with Service Technicians as they are completed. Update service database (Successware) from each service ticket
- Call customers to setup and confirm appointments/maintenance
- Answer incoming calls
- Resolving customer issues in a prompt and courteous manner
- The ability to flawlessly juggle multiple priorities in a fast-paced environment
- Respond to overnight messages. Schedule and coordinate all demand service calls as calls are received
- Research and procure parts and quote repairs to customer. Scheduling or repairs to complete job
- Contact customer with a parts pending status as parts are received for scheduling
- Notify the Service Manager of any under or overbooking situations
Qualifications:
- Prior experience working in HVAC or similar trade (plumbing, electrical, construction or similar industry)
- High School diploma or equivalent
- Detail oriented with strong organizational skills
- Ability to work under high pressure situations with a consistent positive attitude and a high attention to details
- Excellent personal communication and customer service skills; must speak clearly and concisely
- Strong computer skills accurate data entry and typing 40+ wpm, Word, Excel and learning new software
- Ability to maintain composure and concentration while working in a fast-paced multi-tasking environment which includes some
interruptions and noise
- Great attendance and punctuality
- Organized and able to prioritize multiple tasks and successfully meet deadlines
- Able to work around a constantly adjusting schedule and priorities
- Able to multi-task efficiently
- Enjoy working with people and helping others
- Critical thinking and problem solving
- Maintain customer satisfaction
- Ability to build trust, diffuse conflict and hold others accountable
- Able to learn and retain large amounts of information
- Ability to work with little supervision
- Must pass a criminal background, drivers license check and pre-employment drug screen.
Hours:
Normal hours will be 7:00 3:30 Monday - Friday with overtime as necessary
During training - hours will be 8:00-4:30 Monday Friday
