Position Summary The Facilities Services Manager provides overall management and oversight of the Knight Law Center, directing staff and resources to ensure effective, safe, and efficient operation of the facility. Exceptional customer service is a core expectation of this role. The Manager ensures the facilities support the pedagogical, research, and administrative needs of the law school while operating within budgetary means and applicable university policies.
This position is responsible for day-to-day facilities operations, including building safety and security, and ensuring that established procedures and protocols are followed. This is a hands-on position requiring strong project management skills, technical facility expertise, clear and effective communication, and the ability to remain highly organized while managing multiple priorities.
Key responsibilities include project management and administrative functions such as submitting, tracking, and monitoring work orders and purchases; scheduling aspects of maintenance and repair activities; and coordinating internal and external requests for facilities. The Facilities Services Manager works independently to prioritize tasks and communicates regularly with a wide range of stakeholders, including faculty, staff, students, and the general public from culturally diverse backgrounds. The Manager also supervises and directs the work of student employees.
The Facilities Services Manager leads and coordinates logistics for facility-related events. Responsibilities include reviewing and evaluating requests (e.g., date, time, and space availability); consulting with event planners to understand all logistical requirements (e.g., building access, audio-visual (AV) requirements, signage, set-up/takedown, policy compliance); and effectively managing the event execution from planning through completion. This position frequently requires managing expectations and compliance while delivering a high standard of exceptional service. Events may include signature academic events, student career programming events, conferences, visits by dignitaries, recruiting activities, and other internal or external events.
In addition, the position coordinates aspects of manual, unskilled, semiskilled, and custodial workers engaged in the maintenance and repair of the Knight Law Center. The Manager also performs limited skilled labor, including minor construction and repair tasks such as installing shelves, handling and installing artwork, repairing furniture, patching walls, and painting. Responsibilities further include managing office moves and maintaining furniture inventory.
The Facilities Services Manager reports to the Associate Dean for Finance and Operations.
Work schedules are determined by the operational needs of the building and scheduled events and may include early mornings, evenings, and weekends.
Special requirements for this position include the following:
Ability to lift heavy equipment and to stand or walk for extended periods.
Ability to climb ladders and stairs.
Ability to work outdoor events and perform exterior maintenance duties.
Ability to qualify for and maintain University of Oregon driver's certification, including holding a valid Oregon driver's license throughout employment in this position.
Bachelors degree OR an equivalent combination of education and professional work experience in a facilities related position.
Two years of progressive facility management experience OR an equivalent combination of education and experience, substituting one year of experience for every year of education.
One year of project supervisory experience OR two years of leadership experience directing the work of others.
Ability to 1) work effectively with students, staff, and faculty from culturally diverse backgrounds and with multiple intersectional identities; and 2) advance diversity, equity, and inclusion in the university community
Strong organizational, administrative and interpersonal skills.
Excellent oral and written communication skills.
Ability to manage several requirements or projects simultaneously.
Ability to manage tasks where successful collaboration and coordination with others is essential for operations.
Extensive knowledge and experience in troubleshooting/problem-solving difficult or complex issues.
Proficiency in Word, Excel, PowerPoint, and Outlook (or similar software).
Experience managing higher education facilities.
Professional experience in implementing and managing facility safety regulations and protocols.
Professional experience with financial and administrative policies, rules, and procedures.
Professional work experience in project management.
