Work Environment – Shop floor, Service Island, Training room for training and administrative duties as needed.
Knowledge and Experience:
Skills:
- Must be proficient in the following: MS Office Suite of products (Outlook, Excel, Word, and Power Point).
- 2 years prior fleet maintenance experience.
- Min 12 months prior supervisory experience.
- Trapeze Fleet Focus or similar workflow and/or inventory tracking program
- General web interface program(s)
- Must have proficient verbal and written communication skills
- Must possess a High School Diploma or equivalent
Key Accountabilities:
- Continuity in leadership in Maintenance Manager absence
- Additional Leadership and interaction with all shift supervisors including utility and service writers
- Skills assessment of current staff
- Direct interaction with corporate training team
- Identify and develop training curriculum based on skills assessment.
- Monitor employee development progress and next course of training needs.
- Direct communication across all shifts
- Root cause analysis on road calls identifying corrective actions/action planning for continuous improvement.
- Accountability in all shifts to ensure service peak availability requirements are met.
- Accountability on all shifts ensures quality inspections are completed.
- Accountability scheduling, diagnosing, and prioritizing job assignments and monitoring estimated repair times during all shifts
- Accountability in all shifts ensures all maintenance admin. Requirements are managed and updated timely and accurately
Safety
- Ensure all OSHA and company Safety policies and procedures are adhered to by all team members/visitors.
- Ensures all company and regulatory safety training compliance.
- Ensure all required safety equipment/PPE is inspected and available.
- Ensure all equipment and tooling is inspected and maintained.
Client/Customer Values
- Interact with client personnel, serve as a member of the Management Team and if required will participate in Client meetings policy/planning development; assure departmental conformance to the Contractual Requirements managing Client values, goals, and objectives.
- Assuming all responsibilities of the Maintenance Manager during their absence.
- Identify and monitor contractual KPI.
- Communicate performance and Improvement plans regularly with Maintenance/Utility supervisors and staff.
Fleet
- Ensures Out of service targets are met on all shifts.
- Manages vehicle / parts warranty.
- Supports third party audits and inspections.
PM Program
- Plans direct and ensure compliance with scheduled/ periodic inspections of vehicles with maintenance /utility supervisors shifts with zero safety related items being rescheduled.
- Provides input to Maintenance Manager on revisions based on operational needs.
- Ensure QA requirements are met on all shifts, review results with supervisors and share with the team.
People
- Provide leadership and direction to all shift’s maintenance and utility supervision and departmental staff to include coordinating work; coordinating work with external agencies; prioritizing and assigning work.
- Conduct performance evaluations / skills assessments; ensuring that employees follow policies and procedures and making hiring, termination, and disciplinary decisions and recommendations.
- Identify and provide/scheduled training needs based on skills assessment review with Supervisors.
- Coordinate identified training needs with Corporate Training Team, developing training curriculum based on assessment review. Monitor training progress and skillset development.
- Review and communicate training progress and skills development with Supervisors, employees and Corporate Training Team and assess next course of action.
- Ensure open and transparent communication with staff/ Communicates and provides frequent updates to Operations/Dispatch and Maintenance / Utility supervision during all shifts.
- Provide input to Maintenance Manager on union-related issues.
- Ensure daily Team Communication is conducted Provide weekly Trend Analysis/Feedback on KPI performance during all shifts.
Facility/Equipment
- Provides input to Maintenance Manager related to facility projects, organizes, and directs the maintenance and repair of all equipment, facilities, and grounds; Manages scheduled/ periodic inspections of Facilities and grounds, tooling and equipment operated.
- Ensure facility and shop equipment are clean, organized and in safe operating condition during all shifts.
Materials/Vendors
- Interact with vendors as needed during all shifts.
- Monitor vehicles waiting for parts to ensure timely repairs when the parts are delivered.
- Ensure all warranty and core parts are tagged and returned to the parts dept.
- Ensures parts inventory is secured and access is controlled during all shifts.
Data
- Directs and monitors service writer Ensure CMMS operating systems (RTA, Transit Check, Trans Trac, etc..) and maintenance administrative requirements are managed properly and updated in real time during all shifts.
- Ensure work orders are complete and accurate to include Complaint, Cause and Correction detail information, and each workorder line is allocated using the appropriate VMRS coding for the job performed.
Workshop Process
- Ensure 100% KIHM compliance and participation across all shifts.
- Monitor Weekly Production Plan progress, adjust as necessary to maintain vehicle availability as per contractual/ client requirements.
- Review and monitor daily rescheduled repairs that were waiting on parts, PM follow up etc... and schedule for completion to minimize down time.
- Perform root cause analysis on road failures and develop corrective actions to address fleet performance issues.
- Assign jobs according to skillset to maximize quality and efficiency.
- Monitor shop activities conducting Gemba Walks
- Monitor and assist with troubleshooting and diagnostics.
- Establishes and monitors Standard repair times for jobs assigned.
- Perform QA inspections, and ensure Quality / compliance is adhered to for PMI, Road Call and Repairs
- Manage compliance with scheduled maintenance service intervals and Utilities BI- annual detailing of the vehicles. Ensures Daily vehicle cleaning standards are met for the next day’s service.
- Manage and prioritize/schedule Driver inspection reports daily and timely.

- Operators/Drivers may work inside or outside vehicles and may operate vehicles for over 8 hours per day.
- Operations Supervisors and Managers may split their work between an office setting looking at a computer screen/electronic device and active transit field locations driving in a vehicle.
- Maintenance Employees may be exposed to toxic or caustic chemicals in a ventilated maintenance shop and may work with personal computers, laptops, electronic hand-held devices, complex electrical schematics, diagnostic software and testing devices, and other heavy machinery.
- Office Staff may work indoors in air-conditioned or well-ventilated facilities, including offices and cubicle spaces equipped with a telephone and computer and may entail typing or looking at a computer screen.
